Start with the actual contents

Keep a line-by-line inventory for each box: accurate item descriptions, quantities and the values requested by the operator. Record whether items are new or used. Keep purchase evidence where available. A declaration is not a place for vague labels, invented low values or omitted items.

Check the right rule for the right person

The Philippine Bureau of Customs publishes official balikbayan guidance. Check the current requirements against the sender, recipient, contents and shipment rather than assuming every box receives identical treatment. Ask the operator which documents support the route and any relief being claimed.

Know who handles the filing

Ask which business prepares the export and import paperwork, which information you must provide and how corrections are made. Review your own details before submission. An agent preparing a form still needs accurate information from you. Keep a copy of the completed record or the acknowledgment your operator supplies.

Separate permission from packaging

Careful wrapping does not make a restricted item acceptable. Goods may need separate permits, be excluded from a provider’s service or be prohibited altogether. Request an item-specific answer before packing unusual food, medicines, plants, chemicals, electronics or battery-containing products.

If an inspection or question arises

Respond through the operator’s verified channel, quote the box reference and provide only the documents requested for the specific issue. Ask who issued the request and what deadline applies. Keep packaging and contents records available, and record any authorised opening or repacking.

Do not pay an unexpected “customs fee” solely because a message includes your name or tracking number. Verify the charge, responsible business and payment instructions through a previously confirmed contact channel.
