How to pack your first balikbayan box
A step-by-step packing method that protects the contents, makes the declaration easier and leaves you with a useful record.
1. Confirm the box rules before shopping
Ask the operator for accepted outer dimensions, the maximum packed weight and the required box construction. Check whether you must use a supplied box. Decide how many boxes you need from the accepted limits rather than forcing everything into one oversized carton.
Set aside anything fragile, liquid, battery-powered, perishable or otherwise unusual until its acceptance has been confirmed. A general packing guide cannot decide whether a specific item is permitted on a particular route.
2. Build a contents list as you go
Create one list per box. Record a plain description, quantity, condition and the value information the operator requires. “Ten used adult cotton shirts” is more useful than “stuff”; avoid descriptions that conceal what an item is. Keep receipts where you have them.
Take clear photographs before wrapping items and again as you pack. Store these with the draft inventory, then update the list when you remove or add anything. A record made before sealing is more useful than trying to reconstruct the contents after a problem.
3. Pack for handling, not just for storage
Use a clean, sound carton that meets the service specification. Support the base as instructed, distribute heavier items low and evenly, and protect corners and sharp edges. Wrap vulnerable items individually and fill gaps so the contents do not shift when the box is moved.
Do not use fragile items as load-bearing spacers. Avoid a bulging lid or walls: if the box only closes under force, repack it. Packing the box should not require someone to guess how to lift it safely.
4. Protect the record and label
Follow the operator’s external label format. Keep old shipping labels off the carton and give every box its own identifier. Put a second copy of the agreed recipient details inside if the operator permits it. Do not place passport copies or financial information visibly on the outside.
Check the recipient’s full name, active phone number and delivery address directly with them. A familiar family nickname or a map pin is not a complete written address.
5. Photograph, weigh and hand over
Measure and weigh the finished box using the operator’s requested units. Photograph the sealed carton from several sides, including the label and any existing marks. Keep it in a dry, secure place until the confirmed collection.
At handover, confirm the collector and get a receipt listing the box reference, count and visible condition. If the box is opened or repacked during an authorised process, ask for the record to be updated.
